Business Sherpa Group (BSG) is a business management solutions company providing flexible, sustainable, and affordable consultancy services to over 400 SMEs. BSG helps these enterprises overcome challenges posed by limited resources and expensive consultation services.

The Challenge

BSG previously managed client information manually, involving numerous time-consuming steps. This manual process was inefficient and prone to errors, resulting in delays between lead creation and client onboarding. BSG needed an optimized and automated solution to streamline this process and reduce errors.

Solution

To address BSG’s needs, Intelligenes developed a Virtual Workspace using Microsoft Power Automate to enhance the client onboarding, monitoring, and management processes. We integrated essential tools and automated workflows supported by Insightly CRM, facilitating data fetching for lead creation, the initial step in client onboarding.

The solution included:

  • Microsoft Planner: For developing project plans and tracking daily tasks.
  • Microsoft Teams: For employee collaboration.
  • DocuSign: For secure and expedited document signing and approval.
  • SharePoint Online: As the database, leveraging BSG’s existing Microsoft suite and suitable for their organizational size and data needs.
  • Projector: To allow clients to track project billing.

Clients could view project progress on SharePoint Online and monitor billing through Projector.

Outcome

BSG now benefits from an efficient client and project management system. The Power Apps Virtual Workspace suite, with its integrated tools, significantly improved the client onboarding process by reducing time, cost, and energy. This automated solution replaced the manual client onboarding procedure, allowing BSG to meet its objectives more effectively and enjoy smoother operations.
